Instructions for first-time Galaxy users: navigation, how to add companies and contacts, managing pipelines.

Navigation

After logging into Galaxy, you will see the main navigation bar on the left of the screen. By clicking on the links within this navigation bar you can move between Companies, Contacts, Pipelines, Reports and Settings. The mouse pointer will change when you hover over a clickable link.

At the top of the navigation bar, next to the logo, there is an arrow icon that enables you to collapse or expand the navigation bar which will change the size of the application window. This is particularly useful for smaller screens.

The navigation bar will automatically collapse when the application is opened on small (i.e. mobile) screens.

On the Companies page, when you select a Company you will be taken to the Company Profile page. This is the first of five tabs related to the selected company: profile, financials, contacts, activities, files. Navigate to each tab by selecting the name of the tab at the top of the page.

On the Contacts page, when you select a Contact you will be taken to the Contact Profile page. This is the first of two tabs related to the selected contact: profile, activities. Navigate to each tab by selecting the name of the tab at the top of the page.

Add Companies

There are two ways to add Companies - one at a time or bulk. If you already have a list of Companies that you want in Galaxy, please contact us and we will import them for you.

If we haven’t imported Companies for you, when you get started with Galaxy you will not see any Companies in your list on the Companies page. To add a company, click the ‘Add Company’ button on the top right of the Companies page. 

This will take you to the New Company page where you can enter the information you have on the new company (i.e. name, industry, address, size, source, year end, etc.). There are three required fields for creating a new company: primary currency, year end and pipeline. All of the other new company fields are optional. 

Primary currency: the currency used to track the financials of a company (i.e., the currency in which the company reports its financial results).

Year end: the calendar date of the company’s fiscal year end.

Pipeline: identifies the type of deal for the company (i.e., acquisition or venture investment). This can be changed at any time and is used to group investment opportunities by type of investment.

Add Contacts

There are two ways to add Contacts - one at a time or bulk. If you already have a list of Contacts that you want in Galaxy, please contact us and we will import them for you.

If we haven’t imported Contacts for you, when you get started with Galaxy you will not see any Contacts in your list on the Companies page. To add a Contact, click the ‘Add Contact’ button on the top right of the Contacts page. 

This will take you to the New Contact page where you can enter the information you have on the New Contact (i.e. name, title, role, email, phone, etc.). There is just one required field for creating a New Contact: primary company. All of the other fields are optional. 

Primary company: the company with which the contact is primarily associated (i.e, where they work).

Pipelines

There are two types of pipelines in Galaxy: sourcing pipelines and deal pipelines. 

Sourcing pipelines track Companies through the various sourcing stages from entry into Galaxy, to contact, meetings, NDA, info received, etc. All the way to when a Company becomes an active deal (i.e. the opportunity is qualified).

Deal pipelines track Companies through the various deal stages from qualification to offer, LOI, diligence, etc. 

Sourcing stage or deal stage can be set for any company by changing the field in the company profile page or by dragging and dropping the company on the Pipelines page.

Pipeline Entry and Exit Date

The Sourcing Start Date for a company is automatically set based on when the Company’s sourcing stage is first saved. This is the date when the Company has entered the Sourcing Pipeline.

The Deal Pipeline Entry Date is set when a Company is assigned any Deal Stage. Moving a Company’s Deal Stage doesn’t change the Deal Pipeline Entry Date. 

The Deal Pipeline Exit Date is set when a Company is assigned the ‘Invested’, ‘Closed’, ‘Passed’ or ‘No Deal’ Deal Stage. If the Deal Stage is assigned to any of the foregoing Deal Stages and then set back to any other Deal Stage, the previously set Deal Pipeline Exit Date is reset and cleared (i.e., until the Company re-enters the Deal Pipeline again).
